We are the data controller for the personal data described in this policy. Where we use third-party platforms (such as our crowdfunding platform, payment processor, ticketing provider, or WhatsApp), those providers may act as independent controllers or as our processors — this is set out in Section 6.

2. What this policy covers

This policy applies to personal data we collect through:

• Our crowdfunding campaign page hosted on Crowdfunder UK
• Our campaign website and any linked landing pages (if applicable)
• Backer/pledge registration and reward fulfilment
• The dedicated WhatsApp channel/group we operate for backers and supporters
• Ticketing and entry management for our 3,000-capacity public event
• Ticketing and entry management for our 2,000-capacity secret cinema experience
• Prize draws and competitions run as part of the campaign
• General correspondence, customer support and marketing communications

3. The personal data we collect

3.1 Data you give us directly

• Full name
• Email address
• Postal address (for reward/prize fulfilment)
• Telephone/mobile number, including for WhatsApp channel membership
• Pledge amount and reward tier selected
• Payment and billing information (processed by our payment processor and crowdfunding platform — we do not store full card details)
• Event ticket allocation and any dietary, accessibility or age-related information you provide for event entry
• Prize draw entries and, for winners, delivery/identity details needed to award a prize
• Marketing preferences and any messages you send us

3.2 Data collected automatically

• Technical data from our campaign page/website (e.g. IP address, browser type, pages visited) where applicable, via cookies or similar technologies — see Section 11
• Event check-in data (e.g. ticket scan timestamps) at the 3,000-person event and the secret cinema experience

3.3 Data from third parties

• Confirmation of pledge and payment status from Crowdfunder UK and our payment processor
• Delivery/fulfilment status from any courier used to send rewards or prizes

4. How and why we use your data (lawful basis)

Under UK GDPR Article 6, we rely on the following lawful bases:

Performance of a contract — to process your pledge, allocate your reward or event ticket, fulfil prizes, and manage the backer relationship created when you support the campaign.

Consent — to add your mobile number to our WhatsApp channel, to send you marketing/promotional communications beyond core campaign updates, and for any optional use of your data (e.g. testimonials, photo/video features). You may withdraw consent at any time (see Section 9).

Legitimate interests — to manage entry, safety and security at the 3,000-person event and the secret cinema experience (including CCTV and photography — see Section 7); to prevent fraud; to administer prize draws fairly; and to improve future campaigns. Where we rely on legitimate interests, we have considered that this use does not override your rights and freedoms.

Legal obligation — to keep financial records for tax and accounting purposes, and to comply with any applicable gambling/promotions law relating to prize draws.

5. The WhatsApp channel

We operate a dedicated WhatsApp channel/group for backers who choose to opt in.

• Joining the channel is entirely optional and based on your explicit consent — it is never a condition of backing the campaign.
• If you opt in, your mobile number will be used to add you to the channel. This is a WhatsApp "Channel" (broadcast-only): other members of the channel will not be able to view your personal mobile number or profile information, and you will not be able to view theirs. Only channel administrators can see who has joined.
• WhatsApp is provided by WhatsApp Ireland Limited / Meta Platforms, Inc. Your data sent via WhatsApp is also processed under Meta's own privacy policy, and may be transferred outside the UK — see Section 8 for safeguards.
• You can leave the channel/group at any time directly within WhatsApp, or by asking us to remove you.
• We retain the record that you opted in/out of the channel for as long as set out in Section 10.

6. Who we share your data with

We share personal data with the following categories of third party, only as needed to deliver the campaign, events and rewards:

• Crowdfunder UK — our crowdfunding platform, which processes your pledge and account data under its own privacy policy
• Payment processor(s) — to process payments and refunds securely
• WhatsApp/Meta — where you opt in to the WhatsApp channel
• Event ticketing and access-control provider(s) — for entry management at the 3,000-person event and the secret cinema experience
• Venue and event security/safety personnel — for safeguarding and incident management on the day
• Courier/delivery partners — to fulfil rewards and prizes
• Prize partners/suppliers — where a prize is provided or fulfilled by a third party
• Professional advisers (accountants, lawyers) and regulators, where required by law

We do not sell your personal data to third parties.

7. Events, photography, filming and CCTV

The 3,000-person event and the secret cinema experience are ticketed live events. As part of running them safely and promoting the film and future campaigns, please note:

• CCTV and security monitoring will operate at both venues for safety purposes.
• Official photography and filming will take place at both events, and may be used in promotional material, social media, the film's marketing campaign, and future crowdfunding updates. By attending, you acknowledge you may appear in this content; if you do not wish to be filmed/photographed, please speak to event staff on arrival so we can accommodate this where reasonably possible.
• Access to the secret cinema experience may involve additional data collection (e.g. specific arrival slots, group allocations) necessary to manage the experience safely.

8. International data transfers

Some of our third-party providers (including WhatsApp/Meta and, depending on hosting, our payment or ticketing providers) may process data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA), an adequacy decision, or the provider's own UK/EU-approved safeguards. You can ask us for details of the specific safeguard used for a given transfer.

9. Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Have inaccurate data corrected
• Request erasure of your data, in certain circumstances
• Restrict or object to our processing of your data
• Request a copy of your data in a portable format
• Withdraw consent at any time, where processing is based on consent (e.g. WhatsApp membership, marketing)

10. How long we keep your data

• Pledge, payment and financial records: retained for 6 years to meet HMRC/accounting requirements
• WhatsApp channel membership records: retained for the duration of your membership, and for a short period afterwards for administrative purposes
• Event ticketing/entry data: retained for the duration of the event season plus a reasonable period for safety/incident-handling purposes
• Prize draw records: retained as required to demonstrate fair administration and compliance with applicable law
• Marketing preference data: retained until you unsubscribe or withdraw consent

11. Cookies and tracking (campaign website, if used)

If we operate a campaign website or landing page alongside our Crowdfunder UK page, it may use cookies or similar technologies for essential functionality, analytics, and (where you consent) marketing purposes. You will be shown a cookie banner allowing you to accept or reject non-essential cookies on first visit.

12. Children's data

The age policy for the 3,000-person event and the secret cinema experience will be confirmed before tickets are released. Where a ticket is purchased for or by a minor, the purchasing adult is responsible for providing accurate details, and we collect only the minimum data necessary for safe entry.

13. Security

We use appropriate technical and organisational measures to protect your personal data, including secure payment processing via our platform and payment processor, restricted access to backer and ticketing data, and regular review of our data-handling practices. No system is completely secure, but we take reasonable steps to protect your information from unauthorised access, loss or misuse.

15. Changes to this policy

We may update this policy from time to time, for example as our campaign, events or WhatsApp/platform arrangements develop. The "last updated" date at the top of this document shows when it was last revised. Material changes will be communicated to backers via email or the WhatsApp channel where appropriate.
